Tenants

From the 'Tenant Details' menu, you may:
  •   Store tenants personal details

  •   Store key lease details

  •   Automatically generate payment schedules for each tenant 

  •   Automatically track tenant payments against their payment schedule

  •   View tenant payment history, account balance & future payment schedule

  •   Produce various tenant reports (lease expiration, account balances, overdue rent, etc)

  •   Automatically generate tenancy agreements, statements, overdue rent reminders, letters to utility providers and more.

  •   Automatically generate late payment charges for rent arrears

  •   Email correspondence to the recipient at the click of a button.

We have included a number of screen shots to give you an idea of how the features work.

From the 'Tenant Details Menu', select the option you require:

Add New Tenant

To add a new tenant, fill in as much or as little tenant information that you wish to store.

Once the tenant has been added, setup their contract or lease:

Setting up their contract, will allow you to automatically generate tenancy agreements, notify utility providers that a new tenant has taken over the property and to track their rental payments.

Review Contract Details

Select the appropriate tenant from the summary screen (similar to above).  Once selected, you may review their payment history and current account balance.  The tenant payment history is automatically updated from the accounts menu.  Note that you may modify the payment schedule e.g. to extend a lease.

The payment details screen is colour coded as follows:

  • Green = Payment received
  • Yellow = Payment due in less than 30 days
  • Red = Payment overdue

Tenant Reports

Various tenant reports are available.   These can be restricted to a property, time period or tenant, through the 'Tenant Report Filter'.

The 'Tenant Agreement Summary Report' provides you with a snapshot of all tenancy agreements (1 line per tenant).   The lease start and end dates are colour coded as follows:

  • Yellow = Lease due to start in less than 30 days
  • Green = Active Lease
  • Red = Lease due to expire in less than 30 days
  • Black = Lease expired

The 'Payment Schedule - by month', shows you all the payments due, sorted by month.  Overdue rent is highlighted in red, upcoming rent is highlighted in yellow.

Generate Overdue Rent Reminders - Automatically generates an overdue reminder letter for all tenants with outstanding rent.

Generate Tenant Statements - Automatically generate statements for your tenants over a varying time period (historic or future). The statements may be automatically emailed to the tenants by clicking on the email button on the main menu. Note that if you charge VAT, you may activate the VAT reporting on statements through the Administration Menu.

Generate Late Payment Charges - Automatically generate late payment charges report for all overdue rent. Selectively charge tenants by double clicking on the charge line that you wish to apply. Alternatively apply all charges by clicking on "Auto Apply All Charges" button.
